Über die Aufgabe

 

The accounting and administrative assistant will be responsible for assisting the office manager with location accounting duties and reporting. Additionally, this person will be responsible for general administrative duties associated with the location and greeting guests.
 
Responsibilities of this individual include:
  • Invoicing of orders for equipment and parts shipments and service work
  • Receive hourly employee timesheets for submission to corporate payroll liaison
  • Code and forward AP invoices to corporate shared services, resolve invoice discrepancies for timely expense posting
  • Process AR cash receipts
  • Drive on-time AR collections
  • Any financial tasks as required, including but not limited to month end closing, financial reporting and forecast preparation
  • Answer main phone line with professionalism at all times and direct calls accordingly
  • Direct visitors in the office
  • General administrative duties as required, including but not limited to, data entry, preparing and sending correspondence, sorting mail, scheduling and coordination of meetings, booking of travel, purchase of office supplies, etc.
  • Other duties as assigned
Qualified individuals will possess the following attributes:
  • Advanced computer skills, including MS Office in particular Excel
  • Strong organizational skills
  • 3-5 years in a similar accounting/administrative role
  • High school equivalent required; some college coursework preferred
  • Able to multi-task and project manage
  • Works to tight deadlines
  • Commitment to change and continuous improvement
  • Strong interpersonal skills – works well with others and communicates well face to face, by telephone and in writing
  • Takes full responsibility for completion of own objectives
  • Supports and assists colleagues – team player
  • Flexible approach to working hours – prepared to work overtime at short notice/on call system
  • Works with minimal supervision
